Career Service (Professional) / Second Level Eligibility
1. Manages all incoming and outgoing documents of the Division using the existing document management system and logbooks to effectively monitor the status of al documents including assigning/labelling for control;
2. Provides administrative and technical support during the preparation, actual, and post events/activities initiated by the Division, such as documentation, logistical preparation, etc., for smooth implementation of the event/activity;
3. Disseminates relevant and official information within the division from various internal (OVP) channels to ensure effective and efficient internal communications;
4. Facilitates the Division's supplies by timely submission of reports to the designated ODU and processes requests for effective office supply management;
5. Maintains organized and user-friendly filing scheme within the Division and references (e.g., list of references, directory of external and internal partners and stakeholders, etc.) for easy access of materials and pertinent information;
6. Manages supplies and materials requirements of the Division including preparation of the annual plan;
7. Answers official telephone calls for proper coordination;
8. Assists in reviewing documents and financial schedules for on-time submission to other offices/divisions/unit; and
9. Substitutes for other accounting staff in case of absence to ensure continuous office operations.
