DUTIES AND RESPONSIBILITIES

1. Manages all incoming and outgoing documents of the Division using the Document Management System (DMS) and logbooks to effectively monitor the status of all documents;

2. Prepares routinary documents for the respective Division through submission of accomplished and complete request forms to intended Office/Division/Unit (ODU) recipients to ensure compliance and efficient daily operations;

3. Provides administrative and technical support during the preparation, actual, and post events/activities initiated by the Division, such as documentation, logistical preparation, etc., for smooth implementation of the event/activity;

4. Disseminates relevant and official information within the Division from various internal channels to ensure effective and efficient internal communications;

5. Facilitates the Division's supplies by timely submission of reports to the designated ODU and processes requests for effective office supply management;

6. Maintains organized and user-friendly filing scheme within the Division and references (e.g., list of references, directory of external and internal partners and stakeholders, etc.) for easy access of materials and pertinent information;

7. Answers official telephone calls for proper coordination; and

8. Substitutes for other planning officers in case of absence to ensure continuous office operations.
